Data & AI platform by Data Analytics

Connecting ChatGPT to business data: start with the permitted route

You want to ask questions about your own organisation without gathering files each time. Connecting to ChatGPT may offer a route, but the options depend on your client, subscription, available features and configuration. ENABLE is the manageable Data & AI platform from Data Analytics for connecting and structuring business data, analysis, apps and AI. From that data foundation, you assess which information may be made available. A controlled setup reduces risks but does not provide absolute security or guarantee correct answers.

The examples on this page are hypothetical situations, not customer cases.

01

First check what your ChatGPT environment supports

Before designing the connection, check the current documentation and settings for your specific environment. Not every subscription or workspace supports the same connections. An MCP route requires a suitable client feature, supported transport, appropriate authentication and correct configuration. Have a technical administrator establish which capabilities are actually available and permitted by your organisation.

Uploading a file is not the same as a live MCP connection. An upload uses a supplied snapshot; a configured tool can request data from a connected source during use. Even then, freshness depends on synchronisation, source availability and caching. Document the refresh behaviour your application actually provides.

02

Turn business data into a bounded information source

Start with one recurring question and determine the tables, definitions and filters it requires. A question about outstanding invoices, for example, requires agreement on reference date, currency and payment status. Bring sources together through data integration where needed. MCP does not replace a data model or repair missing or contradictory source data.

Then expose a purpose-built, bounded tool rather than unrestricted access to your database. The server checks identity, permitted business entity and parameters for every request. Limit result size and sensitive fields. A user instruction such as “show only my customers” is not access control; that restriction must be enforced technically outside the language model.

03

Choose deliberately where data is processed

Explicitly decide whether selected business data may be sent to an external LLM service. Assess contractual terms, processing locations, retention periods and the use of input for model improvement within your chosen service and settings. An internal data source or your own MCP server does not automatically make all processing internal. Tool results may also reach the model provider.

Classify in advance which data is needed and which you will omit or mask. Ask privacy, information security and the process owner to review the proposed route. If external processing is unsuitable, investigate a different client or model setup. A private option also requires concrete agreements about management, access and data flows, not just a different label.

04

Test answers against a recognisable business situation

Hypothetical example: your controller asks which invoices have been outstanding for more than sixty days on the agreed reference date. A restricted read application returns only permitted invoices, with source references and the selection used. ChatGPT drafts a summary. The controller compares it with the financial source before anyone contacts a customer or adopts an accounting conclusion.

Also test an empty result, an unavailable source and a user without access. Have the application expose missing information rather than invent a plausible answer. Measure agreement with the source, response time and error handling. A successful demonstration does not establish that every business entity, question variant and exception is adequately supported.

05

Start with a manageable scope and organise follow-up

For an initial engagement, agree the source, target users, permitted questions and exclusions. Assign owners for data, the connection and user management. Start with reading where appropriate; treat writing as a separate design. Plan reassessment when client features, authentication, source schemas or your model service terms change.

Data Analytics can explore feasibility and alignment with ENABLE with you. The outcome depends on your sources, permissions and chosen technical route. Define acceptance criteria before wider rollout and make sure you can revoke the connection. This keeps it a managed capability rather than an undocumented exception.

Frequently asked questions

Does this work with every ChatGPT subscription?

No. Check the current features of your subscription and workspace, including administrator settings. For MCP, transport, authentication and configuration must also match the supported client route.

Is an upload a live connection?

No. An upload supplies a snapshot. A configured MCP tool can request data, but actual freshness still depends on the source, synchronisation and any caching.

Does all data remain within ENABLE?

Not necessarily. When using an external LLM, selected data may be processed outside your platform. You must explicitly assess and approve that data flow, its terms and settings.

Can ChatGPT immediately change data?

Not in a read-only setup. Write access requires a separate scope, server policies and explicit human approval for specific changes. A prompt alone is insufficient.
