Data Analytics for your organisation

Hotel and hospitality data with clear measures

Hotels and hospitality businesses manage occupancy, revenue, capacity and costs, but the same term can mean different things across systems and teams. Reservations, point-of-sale data, accounting and workforce planning each have their own time periods and statuses. Enable can help bring those sources together in a management model with explicit definitions and visible data quality. The value is a reliable discussion about performance, not a promise of improved results.

The examples on this page are hypothetical situations, not customer cases.

01

Occupancy, ADR and RevPAR

Occupancy is commonly calculated as rooms sold divided by rooms available; document how closed rooms, complimentary rooms and no-shows are treated. ADR is room revenue divided by rooms sold, with an explicit boundary for taxes, packages and adjustments. RevPAR is room revenue divided by rooms available, or ADR multiplied by occupancy when definitions and periods align. These measures are not interchangeable. A hypothetical hotel may see occupancy rise while ADR falls; together they provide more context but do not guarantee profitability.

Available rooms deserve particular attention during renovation, seasonal closure or temporary blocks. Decide whether such rooms are excluded from the denominator and apply the rule consistently. A hypothetical hotel with a closed wing may otherwise show an unexpected occupancy jump without any change in demand. For relevant periods, show capacity and exceptions alongside the percentage.

Channel reporting may provide insight into booking mix, but requires an agreed channel assignment and treatment of changes. A reservation may originate through an intermediary and later be amended directly. Specify which source determines channel classification and how commissions are handled in any net revenue measure.

Alongside room measures, restaurant revenue, labour hours or outlet costs may be relevant, but each needs its own time and allocation definition. A breakfast package, for example, may be split differently across systems. State whether management reporting shows gross or net revenue and how internal allocations are treated.

Reservations and revenue sources

A reservation system describes booking status and stay, while point-of-sale systems record outlets and transactions and accounting may classify revenue by posting date. Agree whether reporting uses stay date, transaction date or financial period. Define how cancellations, prepayments, packages, commissions and refunds are treated. In a hypothetical hotel, a reservation may later change; reporting should state whether it shows the original booking or the realised night. Join sources using reliable identifiers where possible and keep differences between operational and financial reporting visible.

03

Segments and comparisons

Breakdowns by room type, channel, site, day or season may be useful if segments are consistent and contain sufficient data. Clarify whether revenue includes rooms only or also food and beverage, events and other services. A hypothetical comparison between properties requires the same definition of available rooms and comparable periods; renovations, closures and differences in offering may need context. Distinguish calendar and booking periods deliberately: advance bookings are not realised performance. Show the as-of date and refresh time so users know whether figures are final or may still change.

Data quality and access

Check missing nights, duplicate bookings, status changes, currency codes and reconciliation between reservation and financial totals. Account for time zones, daily close and post-departure adjustments. Document definitions and ownership, and surface errors rather than silently overwriting them. Limit access to employee, guest and transaction detail to what is necessary; use aggregates for operational management where possible. A hypothetical hotel manager may need a daily summary while guest-identifying data stays outside management reporting. Align retention and access with purpose and organisational policy.

05

A bounded hotel project

Choose a concrete initial question, such as monthly occupancy and RevPAR for one property, and define room scope, periods, revenue boundary and source status. Check whether PMS and financial data can be compared on the same time basis. Then build a limited integration and dashboard with explicit definitions, refresh timing and reconciliation. A hypothetical pilot need not include price optimisation, forecasting or automated operational actions. Agree acceptance criteria for calculation, completeness and use by intended roles. Review differences and data limitations before deciding on further sources or properties. Performance improvement is not guaranteed; outcomes depend on data and use.

Frequently asked questions

What is the difference between ADR and RevPAR?

ADR divides room revenue by rooms sold; RevPAR divides room revenue by rooms available. Document revenue boundaries and room definitions.

How are cancelled reservations handled?

It depends on the measure and booking status. Define reservation, no-show, cancellation and realised night separately.

Can a dashboard guarantee performance?

No. It provides insight based on available data; business outcomes depend on many factors and decisions.

Can hotel and restaurant sources be combined?

Potentially, if definitions, periods, currencies and identifiers align sufficiently. Sources and discrepancies are first inventoried and validated.
