Data Analytics for your organisation

Portfolio insight with clear reporting boundaries

Portfolio information combines data from investee companies with differing systems, reporting periods, definitions and currencies. A consolidated view is meaningful only when it is clear what is calculated at portfolio level and what belongs to an individual company. Enable can help integrate sources and establish a management model that preserves lineage, reporting boundaries and definitions. The work starts with a bounded reporting question and agreements on comparability.

The examples on this page are hypothetical situations, not customer cases.

01

Separate portfolio and company views

Specify whether a measure applies to one company, a fund, a legal entity or the entire portfolio. A company may report revenue or EBITDA using its own management definition; portfolio aggregation also requires agreements on ownership share, consolidation and eliminations. Do not add company figures that overlap or cover different periods without explanation. In a hypothetical portfolio view, an investee may be partially owned; state explicitly whether figures are shown in full, proportionately or using another agreed method. The appropriate boundary depends on the question and reporting context.

Reporting frequency often differs between companies. A quarterly figure may arrive later than a monthly portfolio review. Make visible which investees have supplied recent reports, which figures are estimates and which periods are missing. A portfolio total without this context may suggest more comparability than the sources support.

Acquisitions or disposals change the comparison basis. Specify whether historical figures are adjusted pro forma or show only the actual perimeter. A hypothetical trend may otherwise confuse a change in portfolio size with organic development. Show the perimeter by period and document any pro forma calculations separately.

A reporting workflow may also use source statuses such as received, reviewed and approved. These statuses describe workflow and are not a substantive guarantee of accuracy. Define who may change a status and how revisions are recorded so users know which figures are final for the agreed purpose.

02

Definitions and comparability

Revenue, EBITDA, net debt, cash conversion and operational measures require documented definitions, source fields and adjustments. EBITDA, for example, may differ because of normalisations, one-off items or local accounting practices. Preserve reported values as well as any adjusted values and make adjustments traceable to source and explanation. A hypothetical comparison between companies is useful only when periods, accounting basis, acquisitions and definitions are explained. Not every difference is an error; sometimes it reflects an intentional company definition. Have the owner approve mappings and record versions.

03

Currencies and reporting periods

Retain the original currency alongside any presentation currency and record the exchange rate, rate date and method used. Average, closing and transaction-date rates are not interchangeable. Also distinguish fiscal periods, calendar months and non-standard financial years. A hypothetical portfolio trend may appear to change because of currency movements even when the underlying local-currency value moves differently. Where appropriate, show both reported value and currency effect with a documented calculation. Indicate when company reports were received and how missing or stale periods are handled.

04

Source quality and governance

Sources may include management reports, financial exports and operating systems at portfolio companies. For each company, record the source provided, who validated it, which period it covers and which mapping was applied. Check missing fields, duplicate files, differing currencies and unexpected definitions; label provisional figures as such. Access should account for confidentiality, fund structure and role. A hypothetical investment professional may need portfolio totals while detailed data remains available only to authorised users. Changes to definitions, rates or consolidation boundaries must be traceable.

05

Scoping an initial portfolio project

Start with a concrete question, such as periodic movement in revenue and net debt for a limited set of investees. Agree which entities, periods, currencies, definitions and reporting boundary are included. Inventory available files and test whether the data is sufficiently comparable; do not automate aggregation before discrepancies are visible. A hypothetical initial use case can deliberately exclude valuation models, transaction decisions and figures that have not been provided. Build a model and dashboard showing lineage, as-of date and source status. Review reconciliation and usability with responsible users before expanding scope.

Frequently asked questions

How do you compare companies with different definitions?

Retain source definitions, document mappings and adjustments, and compare only with visible explanations of differences and periods.

Which currency is used?

The original currency remains traceable; a presentation currency requires a documented rate source, date and method.

Is portfolio EBITDA simply the sum of company EBITDA?

Not automatically. Ownership, consolidation, eliminations, periods and agreed adjustments determine how aggregation is constructed.

Can an initial project remain small?

Yes. A bounded set of investees, periods and measures allows comparability and source quality to be tested before considering expansion.
