Data Analytics for your organisation

Data and dashboards for self-storage

For self-storage, site occupancy is not the same as revenue. Present units, reservations and genuinely occupied space consistently, so you understand the definitions behind your figures.

The examples on this page are hypothetical situations, not customer cases.

01

Definitions that fit your practice

Define occupancy by site and unit: do you count unit numbers, rentable area or another capacity measure? Distinguish available, reserved, let and physically occupied. A reservation may change or lapse; decide which timestamp and status governs reporting.

Make definitions concrete by recording the owner, source, measurement point, exclusions and useful breakdowns. A term such as “active” or “available” often needs a sector-specific agreement. Also note missing data and any provisional interpretation. Teams can then check a figure before linking it to a decision.

02

Start with management questions

Which sites or unit types have notably high available capacity? How do reservations compare with genuinely occupied units? How does revenue from occupied space develop by site and period, and where does it differ from reservation information? These are illustrative questions; available answers depend on your records.

Use these questions as examples for prioritisation, not as an assumption that all information is already available. Agree which team reviews a signal, how often and what context is needed. A dashboard can make trends and exceptions visible; interpretation remains with people who understand the work.

03

Connect sources and data carefully

Connect site and unit data with reservation status, contract periods and financial records where available. Agree how cancellations, renewals, temporary blocks and changes are handled. An occupancy rate needs a consistent denominator and chosen snapshot date; revenue needs a separate financial definition.

Connect only data needed for the agreed question. Record source, refresh frequency, transformations and limitations. Check for missing values, duplicate records, unexpected shifts and changes to source fields. When data is not comparable, show that distinction rather than silently averaging it away.

04

Governance and responsible use

Assign business ownership and align access rights with roles and purpose. Agree how corrections, retention and change requests are handled. Make clear to users what an indicator does and does not say. This helps prevent an operational measure from being read as a judgement of quality or social value.

05

A feasible first project

A practical start is to take one site or defined period and compare unit statuses with reservations and available revenue data. Sample-check whether results match operational records. Then decide which breakdowns and reporting frequency are genuinely useful.

A focused first step is often to choose one question, inventory relevant sources and definitions, check a small dataset and validate findings with users. Decide in advance who owns the work and which decision the result should support. Only then select a reporting format or further automation.

Frequently asked questions

Which data source is needed?

That depends on the question. We map available sources, definitions and limitations with you; no specific system is assumed.

Can we start with existing reports?

Yes, existing reports can help explore definitions and information needs. Check how figures are constructed and whether source data is available for validation.

How do we support reliable figures?

Document lineage and definitions, run suitable quality checks and assign ownership. Reliability needs ongoing attention as sources or processes change.

What does an initial project deliver?

That is determined by scope, data and objectives. An initial project can clarify definitions, source quality and useful next steps, without guaranteeing an outcome in advance.
